Records are a corporate resource that need to be retained and accessible over time. The implementation of best practice and compliant recordkeeping systems streamlines operations by making information readily available when it is needed for decision-making and operational activities; providing precedent and background information; and mitigating risk by retaining evidence of business transactions.
Although the University has a decentralised approach to records management, with each faculty and division being responsible for their own records, Records Management Services (RMS) provides a recordkeeping framework to ensure that the University retains evidence of business transactions and meets its legislative recordkeeping requirements. Specifically, RMS has responsibility for:
- recordkeeping advice and training;
- set up and maintenance of the corporate electronic recordkeeping system, TRIM;
- maintaining the QUT File Plan;
- determining retention requirement of records;
- management of the University Archive;
- secure storage of agreements; and
- the capture and retention of the Chancellery and Registrar's Office records.
